Linked fields
A linked field points at another record instead of holding a typed-in value. For example, on an "Inspections" object you might link to the Company the inspection was for, rather than retyping the company's name.
You create one by choosing a link field type (link to one record, or to several) when you add a field.
Setting it up
- Object to link — pick the kind of record this field points at (for example Company).
- The field to match on — pick which detail identifies the linked record.
- Display fields — choose which details of the linked record you want to show. For a linked company you might show its name and city, for instance.
For a linked Company there's also an optional tag setting, to narrow it to a particular kind of company.
Why use one
Linking keeps your information tidy and consistent: the details come straight from the other record, so there's nothing to retype and nothing to keep in step by hand.
A linked field can also have dependencies and a small search configuration. These let an administrator fine-tune how the link behaves and is searched. They're optional and aimed at administrators — you can leave them alone and the link will work.
