Template configuration
When you create or edit an export template, the Template configuration section holds optional settings that fine-tune how the template behaves, looks, and is delivered. A template works without changing any of these — reach for them when you need a specific behaviour.
Common settings
- Default filename / subject — the file name of the produced document, or (for email) the message subject. You can build it from the record's fields with the code-builder button, so each file is named meaningfully.
- Required fields — fields that must have a value before the template can run.
- Multiple support — whether the template can run over several selected records at once, and how the output is combined.
- Message distribution — how the result is sent out.
- Allow edit before sending — let the user review and tweak the result before it goes.
- Preview state — whether (and how) a preview is shown first.
- Include uploaded files — attach files held against the record to the output.
- Included templates — pull in other export templates as parts of this one (each with a mode that says how it's combined) — useful for shared headers or footers.
Email-specific
When the document type is an email type:
- Default sender address — the address the email is sent from.
- Lock sender selection — stop users changing the sender (administrator option).
Delivery and source
- Distribution service subscription — tie the template to a specific configured connection used to deliver it.
- Source file — upload a base file (for example a Word or Excel template) that the output is built on. You can download, change, or remove it here.
- Background job — run the export in the background for large jobs.
Advanced options
Further down are the deepest, most technical settings — visibility conditions, address mapping, file-by-ID attachments, filtering, optional distribution rules, and required data. They tailor exactly which data the template sees and which records it runs on.
Each of these is described in full on its own page: Advanced options. If you're not sure, leave them as they are or check with your administrator.
Set the Default filename / subject even when you skip everything else here — it's a small touch that makes the produced files much easier to recognise.
